Microsoft 365 vs Google Workspace

When businesses ask us to help them move to the cloud, one of the first questions is always: "Should we use Microsoft 365 or Google Workspace?" The honest answer is: it depends. Both are excellent platforms, and the right choice comes down to how your team actually works.

Microsoft 365: Best For...

  • Businesses already using Microsoft products. If your team lives in Word, Excel, and Outlook, Microsoft 365 is a natural fit
  • Complex spreadsheet work. Excel is still the gold standard for advanced data analysis, macros, and financial modeling
  • On-premise hybrid environments. If you run local servers alongside cloud services, Microsoft integrates more smoothly
  • Regulated industries. Microsoft's compliance tools are generally more mature

  • Fully cloud-native teams. If your team is comfortable working entirely in a browser, Google is seamless
  • Real-time collaboration. Google Docs' simultaneous editing is still a step ahead of Microsoft's browser experience
  • Simpler IT environments. If you don't have legacy systems, Google is often easier to set up and manage
  • Budget-conscious startups. Google's entry-level pricing is competitive

  • Excellent search (it's Google, after all)
  • Strong mobile experience
  • Our Recommendation

    For most of the small businesses we work with in Oregon, Microsoft 365 is the better fit. The desktop apps are more powerful, the admin controls are more granular, and most employees already know how to use Outlook and Word. But every business is different, and we've set up plenty of happy Google Workspace shops too.

    The most important thing? Get it configured correctly from the start. Both platforms have security settings that need attention, like MFA, data loss prevention, and proper sharing controls. Skipping these steps is where businesses get into trouble.
